How to Connect AlpacaRelay to HubSpot CRM
Create Your Free AlpacaRelay Account
Visit AlpacaRelay.com and sign up for a free account using your email address. No credit card is required. Once verified, you'll land on your dashboard where you can see all available integrations. This is where you'll manage your HubSpot connection and track all synced data from your CRM. The account setup takes less than 2 minutes and immediately grants you access to the Email Quality Framework scoring system that will evaluate every email you create.
Navigate to HubSpot Integration in Settings
From your AlpacaRelay dashboard, click Settings in the left sidebar. Select Integrations, then search for HubSpot CRM. Click the HubSpot tile to open the integration panel. You'll see a blue Authorize HubSpot button and a brief description of what data will sync. At this stage, no data has been imported yet—you're simply opening the authorization gateway. The panel also displays which data fields are available: contacts, companies, deals, contact properties, custom fields, and lifecycle stage information.
Authorize HubSpot via OAuth and Approve Data Sync Permissions
Click the Authorize HubSpot button. You'll be redirected to HubSpot's OAuth login screen. Sign in with your HubSpot admin credentials (you must have admin access to approve integrations). HubSpot will then display a permissions request showing that AlpacaRelay is asking for read access to contacts, companies, deals, and contact properties. Review these permissions—AlpacaRelay does not request write access to your HubSpot data, meaning your CRM records are never modified by the integration. Click Approve or Allow to grant permissions. You'll be redirected back to AlpacaRelay within seconds. Your authorization is now complete and stored securely.
Map HubSpot Fields to Email Data and Begin Sync
Once authorized, AlpacaRelay's data mapping interface appears. You'll see a list of HubSpot contact fields (first name, last name, email, company, job title, lifecycle stage, lead status, custom fields, etc.) pre-mapped to email template variables. The sync is bidirectional for contact attributes: AlpacaRelay reads your contact data in real time, and any new contacts added to HubSpot after authorization will automatically be available in AlpacaRelay within seconds via webhook. No data is moved or duplicated—AlpacaRelay creates a live reference to your HubSpot records. You can customize which fields to display in your email campaigns and which to exclude for privacy. Click Save Mapping to confirm. Initial data import typically completes within 5 minutes depending on your contact database size.
Create Your First Quality-Scored Email Campaign
Return to your AlpacaRelay dashboard and click Create Campaign. Select HubSpot as your data source. You'll see your imported contacts segmented by lifecycle stage, lead status, and custom properties. Choose a segment (e.g., 'Recent Opportunities' or 'Cold Leads') and select an email template. Write your subject line, body, and call-to-action. As you build the email, the 8-Dimension Email Quality Framework automatically scores your draft across Deliverability, Mobile Render, CTA Clarity, Personalization Depth, Visual Hierarchy, Copy Effectiveness, Brand Consistency, and Structural Compliance. Your email is assigned an Email Quality Score (EQS) out of 10. Aim for a score of 8 or higher before sending. Once approved, click Send or Schedule. The email reaches your HubSpot contacts immediately, and AlpacaRelay logs the send, opens, and clicks back to your CRM for closed-loop reporting. Your first campaign is now live and quality-scored end-to-end.
