How to Connect AlpacaRelay to HubSpot CRM
Create Your Free AlpacaRelay Account
Visit alpacarelay.com and sign up with your email address. No credit card required. You'll land in the AlpacaRelay dashboard within seconds. This account is where you'll manage all integrations, build quality-scored email campaigns, and track performance metrics across connected platforms. Your dashboard becomes the central hub for all email operations tied to HubSpot data.
Navigate to Integrations and Authorize HubSpot
From your AlpacaRelay dashboard, go to Settings > Integrations > HubSpot CRM. Click Authorize. You'll be redirected to HubSpot's OAuth login screen. Sign in with your HubSpot admin credentials. HubSpot will request permission for AlpacaRelay to access your contacts, companies, deals, and custom properties. Approve the permission request. This is a read-write connection, meaning AlpacaRelay can import your contact data and write email performance metrics back to HubSpot's contact records. The authorization is instantaneous and does not interrupt your HubSpot workflows or existing automations.
Map Your HubSpot Data Fields and Configure Sync Preferences
Once authorization is complete, AlpacaRelay displays your HubSpot data structure. You'll see all available fields: contact email, first name, last name, company, deal stage, lifecycle stage, custom properties, and recent purchase history. Select which fields you want to sync into AlpacaRelay for email personalization. Most users sync email, name, company, deal pipeline stage, and any custom properties relevant to their email strategy (e.g., product interest, engagement tier, purchase value). Data syncs in real-time via HubSpot webhooks; contacts added or updated in HubSpot appear in AlpacaRelay within 30 seconds. You can also choose to sync historical data (past 12 months of contacts) in a one-time batch. Historical sync completes within 2-5 minutes depending on your contact volume.
Generate Your First Quality-Scored Email Campaign
From the Campaigns section, click New Campaign and select HubSpot as your data source. Choose a trigger: new contact, deal stage change, contact inactivity, or custom property update. AlpacaRelay's AI Expertise Chain analyzes your HubSpot data and generates a draft email with personalized subject line, body copy, and call-to-action. The email is automatically scored against the 8-Dimension Email Quality Framework (Deliverability, Mobile Render, CTA Clarity, Personalization Depth, Visual Hierarchy, Copy Effectiveness, Brand Consistency, Structural Compliance). Activate Quality Scoring and Launch
Before sending, confirm your Email Quality Score (EQS). Emails scoring 8+/10 are cleared for delivery. Those scoring 6-7/10 trigger a review prompt; you can improve them or send as-is. Emails below 6/10 are flagged with specific improvement suggestions (weak CTA, poor mobile rendering, low personalization depth, etc.). Once satisfied with your EQS and draft, click Launch. AlpacaRelay verifies all links, tests rendering across devices and clients, and validates compliance with Gmail and Yahoo sender requirements (enforced November 2025). Your email is queued and begins delivery immediately to your HubSpot segment. Performance data—opens, clicks, replies, bounces—syncs back to HubSpot contact records in real-time, so your CRM stays current and you can trigger follow-up workflows based on email engagement.
